Training Coordinator - Male HNI Training & Coaching - Dubai, UAE

Roles, Responsibilities and Duties
Duties and Responsibilities shall include but shall not be limited to the following:

- Assisting the operation manager, to fully manage the training and quality process and respective processes so that each program meets HNI's quality criteria 100% on time
- Develop and maintain healthy relationships with HNI’s customers all over the UAE using high level of problem solving and customer service skills.
- Driving around the country setting up and packing up training events with HNI’s trainers.
- Managing training materials fully by printing & binding of training workbooks.
- Prepare and print training materials, including custom feedback forms, evaluation and assessment papers and personalized certificates of completion.
- Perform quality control of documents for printing, to ensure high quality printed materials.
- Ensure the requested technical resources, training materials and supplies are available to trainers at the start of each training programme.
- Attend the start and end of each training programme to assist the trainer in setting up the training room in readiness for training, and packing up at the end of each programme.
- Attend 1 hour before the start of each training programme and liaise with venue technical staff as required, to ensure that audiovisual equipment is working and set up is done as required for the training.
- Manage travel bookings for trainers and HNI staff.
- Manage hotel bookings for trainers and HNI staff including issuing of visas.
- Manage transportation bookings for trainers and HNI staff.
- Be the on-ground liaison between the company and our trainers.
- Manage inventory of training tools and equipment, giveaway items and VIP gifts.
- Manage the maintenance of the training calendar and new online PM system.
- Manage inventory of HNI branded materials.
- Perform purchasing of consumable supplies including stationery, printing supplies and giveaways as well as coordinating for printing externally.
- Complete monthly petty cash summary and appropriately file receipts, etc.
- Be the on-ground liaison between the company and our vendors and suppliers including identification of multiple vendors, for all classes of suppliers, and selection of lower cost alternatives to minimize expenditure.
- Develop, deliver and follow up on invoices until paid.
- Develop and deliver certificates and PTA of completion to clients after each training programme.
- Follow up with trainers, associates, supervisors and customers to ensure the effectiveness of training programmes.
- Participate in training activities, as required (e.g. operate video camera).
- Make suggestions for improvement.
- Assist with English / Arabic training and marketing materials formatting and proof-reading as and when required.
- Provide business operations planning, analysis, reporting and advice for UAE / Qatar operation as and when needed.
- Assist in maintaining an updated ‘client database’ by collecting and forwarding all new clients contacts to the HQ in Dubai promptly.
- Handle incoming phone calls and email enquiries with clients and vendors.
- Assist the Management Team with adhoc requests as and when required.
- Perform other duties as assigned from time-to-time by management.

Skills

Essential:
- Presentable Male already based in the UAE with a valid driving license and own car to use
- Bilingual (Arabic : Mother Tongue & English: at least Very good command in speaking, reading & Writing)
- Superb Organisation and problem solving skills
- Ability to deal with clients’ requirements in positive and prompt manner
- Ability to work long hours (Saturday – Thursday) sometimes starting very early morning or finishing late in the evening and travel consistently between all emirates (esp. Dubai & Abu Dhabi) to set up events and meet clients.
- Must be a self-starter and reliable person with high level of integrity to protect company’s reputation and assets.

Desirable
- Previous experience in training coordination in the UAE
- Good knowledge of Abu Dhabi & Dubai roads while driving.
- Fluent English
- Able to start immediately
